AI automation for small businesses, where do you start?

AI automation often sounds like something for large companies with their own development teams. In practice it is the opposite: in small businesses, where the same person does ten things, a few automated workflows make the biggest difference. The question is where to start.

The most common mistake is starting from the tools, some new AI service, and then looking for a problem to use it on. Flip it: list the tasks that recur every week, feel soulless and follow roughly the same pattern every time. Those are the candidates. A good first workflow is small, clearly scoped and saves time in its first week.

Enquiries and inbox: let AI read incoming email and form submissions, categorize them and prepare draft replies. A human approves, but never starts from zero.

Content and communication: drafts for newsletters, product copy and post ideas based on your own material and tone. The AI does the rough version, you make it yours.

Reporting and admin: summaries that are stitched together by hand today, for example weekly reports, booking overviews and follow-up lists, can be generated automatically and land in your inbox ready.

Anything that builds relationships. Customer conversations that require judgement, sensitive news, negotiation and the personal thank-you. Automation's job is to free up time for exactly those things, not replace them. A good rule of thumb: automate the preparation, not the decision.

Pick a single workflow. Measure roughly how long the task takes today. Build the simplest version that works, run it alongside the old way for a couple of weeks, and expand only once it has proven its value. Automation should pay for itself quickly, otherwise it is the wrong workflow.
